11 Tips on preparing a Wedding Venue for your Special Day.

  Before choosing a venue for your wedding day, you should be aware of certain things you did not take into consideration as everything comes with experience, you won’t have such experience as your wedding hopefully happens only once.

You might fall in love with a chosen hotel or any other venue but later find out that another bride and groom have already made their arrangements for your chosen day.

If you’ve already chosen your special date, then hopefully the 12 tips below will contribute to the success of your Wedding Day!

Tip 1 – Telephone the wedding venue well ahead of the visit and insist on your chosen date.

If they are booked up then you will have no choice but to get back to your list and find an alternative wedding venue.

Tip 2.  – Ask yourself how many quests you can invite as this will indicate how many guests can be seated for a meal at your chosen wedding venue.

This is quite important as you don’t want to book a wedding venue that can accommodate 200 people if you’re only inviting 50 to actually sit down for a meal.  You also need to be sure that your guests can sit comfortably without being crammed into a too small room or where they can barely see the top table.

Tip 3 – Request to see a sample seating plan, ask about type of tables and layouts they have.

Ask to see photos of previous wedding meals and how the tables are laid out. This will give you a good indication of quality of their service to ensure everyone is happy.

Tip 4. If you are planning to have your First Dance, then you need to check the dancing floor at your chosen venue.

wedding venue barnIt depends how many guests you are going to invite. Some couples prefer to have a small and intimate wedding ceremony. They don’t have First Dance as they might have other plans for their guests.

If you plan to invite around 200 guests, be sure that the wedding venue can accommodate this. You don’t want to have 200 evening guests descend on your wedding and find them all squeezed in, or unable to get to the bar or to the dancing floor.

 Tip 5.  Find out if your wedding venue has a separate dance floor

and bar area that resembles a barn – you wouldn’t want to have atmosphere at your wedding reception when  musicians are playing to a half empty hall, with your wedding guests sitting around the edges.

Tip 6. Accessing the wedding venue.

Usually each wedding venue will have their time brackets  of when you can access the building on your wedding day.

You should always confirm what time you can arrive before of the wedding, you don’t want to be left standing outside for hours.

Tip 7.  Find out if the bridal party can get ready straight at the wedding venue.

This can be something that the bride would prefer, instead of rushing around her house in the morning, why not ask the venue if they have the facilities for the bride to prepare for her wedding day in the comfort of her wedding venue.

Your wedding venue might have a nice, quiet and comfortable room for the bride where she can prepare for her wedding,  together with her hairdresser, make-up artist and other helpers to get her ready her wedding.

Tip 8. Ask the venue organisers if they have wedding music for the bride’s entrance or can you bring your own?

musicians for weddingUsually the wedding venues will be fully aware of musical requests and may have a CD of acceptable music. However, if you want to make your wedding entrance to music of your choice you need to ensure that the wedding venue does actually allow this. If you are allowed to bring your own music, do it a couple of days before the wedding, so they can test the sound etc., to avoid unpleasant surprises with your disks or their equipment on the Day.

Don’t forget to approve your song with the registrar. They should clarify music preferences when you meet them.

Tip 9. Ask is there a timetable of the day, or are they agree to set to your chosen times.

Good wedding venue will suggest their times to you, they’ll know how long each stage of the wedding day usually takes. Ensure you can discuss the day’s timetable, agree when the ceremony will start (you’ll also need to approve that time with the registrar), plan how long the photos will take, agree the start time of the meal, decide what time to invite the evening wedding guests, and when the cutting of the cake and first dance will take place.

Tip 10. Ask the venue’s policy regarding bringing your own drinks.

If they don’t allow, then be sure you know their prices at the bar.

If you’re hiring a marquee at a venue, they will have a temporary bar for your guests – ask if you can stock the bar yourself, maybe even do a deal with someone who’ll buy all the drinks for you and manage the bar for the night.

Ask to see their price list, how they accept payment and would they serve wine at the meal and sparkling wine for toasts?

Tip 11. Ask about caterers – Do they have their own caterers or you will have to find your own.

If you are not using their caterers you can shop around for a caterer with good value for money and enjoy tasting plenty of food along the way.
